A cylinder exchange is an empty cylinder in and a full one of the same size out, at the station’s exchange price for that size. Exchanges are gas sold by the cylinder: they’re in the day’s gas sales, in kg as well as naira.

Before you start

In Station setup → Cylinder sizes, an owner or admin sets each size’s exchange price at the station, and ticks Full kept here and Empties kept here for the sizes the station keeps in stock. A size with no price can’t be exchanged on the sheet. See Set up gas.
A new exchange price applies from the next day. The day that’s open keeps the price it opened with, so every exchange that day is at the same price.

Recording exchanges

In the Gas (LPG) section of the sheet, under Cylinder exchanges, choose the attendant, the size and how many they exchanged, then press Add. Add a line for each attendant and size; with more than one shift, record each shift’s exchanges on that shift. Gasos works out:
  • Amount: exchanges × the exchange price for the size.
  • Gas: exchanges × the size in kg. Eight 12.5 kg exchanges are 100 kg of gas.
To change a count, type the new number. Remove takes a line off, after asking. Where each attendant answers for their own sales, every exchange needs an attendant: a line without one stops the sheet going in.

The hand-over

An attendant’s expected cash is everything sold on their pumps and dispensers plus the cylinders they exchanged. They hand over POS, transfers and cash in one go, and Gasos shows them short or over, as for fuel. Exchanges are in the day’s Total sales and cash to bank.

Counting cylinders at close

For each size the station keeps, count the full and empty cylinders at close and type them under Cylinders at close. Gasos compares each count with the book:
  • Full: opening − exchanged.
  • Empty: opening + exchanged.
Any difference, even one cylinder, needs a reason before you can submit. A size left uncounted is a warning, and its stock is unknown. Tonight’s count is tomorrow’s opening. The first time a size is counted at the station, there’s no opening yet: type how many full and empty cylinders there were at the start of the day too.
Receiving full cylinders and sending empties for refilling come with gas deliveries. Until then, the book counts only exchanges, so explain a count that changed because cylinders came in or went out.

Review and Today

The summary you share by WhatsApp lists the exchanges by size and the cylinder counts. On Today, the Gas sold column includes the cylinders’ kg and says how many cylinders went, and a count with fewer cylinders than expected shows under Needs attention. In the Sales report, cylinder exchanges have their own row, in kg and naira, beside gas sold by the kg.
